GDPR & EU data protection
Data protection is part of planning and configuring every deployment, not something added afterwards. Here's what that means in practice.
A data processing agreement for every deployment
Receptwell acts as your processor. You get a written data processing agreement (Article 28 GDPR) setting out what is processed, why, where and for how long.
Every subprocessor named
The agreement lists each provider involved, such as the call platform, the AI model and the email service, and where each one processes data.
International transfers documented
Some voice and AI providers process data in the United States. Where they do, transfers rely on the EU-US Data Privacy Framework or the EU Standard Contractual Clauses, and are documented in a transfer impact assessment.
Retention agreed with you
Retention periods are set per deployment. Call records are stored in Ireland and deleted automatically on the schedule you agree.
Access controls
Access to call data is limited to named people with their own logins, and data is encrypted in transit.
AI transparency
Callers are told at the start of every call that they're speaking with an AI, and can ask to speak to a person at any time.
You remain the controller of your callers' data and responsible for your own obligations, such as your privacy notice. Each deployment is reviewed against your circumstances; no provider can guarantee compliance for every business or use case.

Questions people usually ask
Will callers know they're talking to an AI?
Yes. It says so at the start of every call and answers honestly if anyone asks.
Can callers still reach a person?
Yes. Any caller can ask for a person, and the AI takes their details for a callback from your team.
Do I need a new phone number?
Usually not. Most setups forward your existing number to the AI, for example when you're busy, after hours, or for every call. You choose.
Does it understand Irish accents and names?
It's configured for Irish English, and each setup is tested with the names and terms your callers actually use.
What's included in each plan?
Every plan is configured for your business and includes call summaries, a NoProb seat and ongoing support. Receptwell is €395 a month with 500 call minutes; the larger-team plan is €595 with 1,000. Setup is a one-off €750 and extra minutes are 20c each. All prices are + VAT, and the setup fee and first month are paid before setup starts.
Where is my callers' data stored?
Call records are stored in Ireland and deleted on the schedule you agree. Some voice and AI processing happens in the United States under the safeguards described above, and the voice provider keeps its own copy only for the short period set in your agreement. Your data processing agreement sets out exactly which provider holds what, where, and for how long.
How long does setup take?
Usually about a week. On day 1 we talk through your business, by day 3 you can ring your agent and hear it, and it goes live on your number around day 7. Connections to other software can take longer, and you'll get the timeline in writing before you start.
What are the contract terms?
Any minimum term is written into your order form before you sign. After that it runs month to month until either side gives notice, so you're never locked in indefinitely.
